Terms & Conditions
Last updated: Oct 15, 2026
1. Introduction
These terms and conditions apply to the ScanDrum mobile app (the “Application”) for iOS and Android devices, created by ScanDrum (the “Service Provider”). ScanDrum helps you get your business online in minutes, and the Application is a store management tool for merchants and their staff to scan, sell, and track inventory. It is currently free to use, with no subscription or paid plan required.
2. Acceptance of Terms
By downloading or using the Application, you agree to these terms. Unauthorized copying, modification, or distribution of the Application or its content is prohibited. All intellectual property rights remain with the Service Provider.
3. Free to Use
The Application and all of its features are currently provided free of charge, with no in-app purchases, subscriptions, or paywalls. The Service Provider reserves the right to introduce paid plans or charges in the future; if that happens, you will be notified in advance and any new charges will not apply retroactively.
4. Barcode Scanning & the ScanDrum Device
The Application lets you scan product barcodes using your device’s camera, and supports pairing with the ScanDrum scanning device over Bluetooth. Pairing requires Bluetooth and, on some devices, location permissions to be enabled. The Service Provider is not responsible for connectivity issues caused by your phone’s Bluetooth hardware, operating system permissions, or environmental interference.
5. Point of Sale (Cashier)
The Application includes a point-of-sale (“Cashier”) feature allowing staff to scan items, build a cart, and complete in-person sales, which update your store’s inventory and order records in real time. You are responsible for the accuracy of prices, taxes, and totals charged to your customers through this feature.
6. AI Invoice Scanning
The Application lets you photograph or upload supplier invoices, which are processed using AI (Google Gemini) to extract line items such as product descriptions, quantities, unit prices, and totals. Extracted data is a starting point only — you must review and confirm it before it updates your product costs and inventory quantities. The Service Provider does not guarantee the accuracy of AI-extracted invoice data.
7. Universal Product Database
When you scan a barcode that is not already in your store’s catalog, the Application may look it up against a shared universal product database and let you report corrections or additions to it. Information in the universal product database is crowd-sourced and provided for convenience only; the Service Provider does not guarantee its accuracy.
8. Staff Attendance, Team & Roles
The Application includes a clock-in/clock-out attendance feature for tracking staff shifts, and lets store owners invite team members and assign roles and permissions. Store owners are responsible for obtaining any consent required from their staff to track attendance, and for managing the access level granted to each team member.
9. Products, Inventory, Orders, Customers & Suppliers
The Application lets you manage your product catalog, stock levels, orders, customer records, and supplier information for your store(s). You are responsible for the accuracy of the data you enter or import, and for complying with applicable law regarding any customer data you store.
10. Notifications
The Application uses push notifications (via Firebase) to alert you about orders, low stock, and account activity. You can manage notification permissions through your device settings.
11. Refund Policy
The Application is free to use, so no fees are charged by the Service Provider. The Service Provider does not process refunds for sales made to your customers through the point-of-sale feature — these are your responsibility as the merchant.
12. Account Deletion
You can delete your account at any time, which will permanently remove your personal account data.
13. Data and Privacy
- Photos of invoices you scan are processed using AI to extract line-item data; both the original image and the extracted data are stored against your account.
- Product, inventory, order, customer, and supplier data you manage through the Application is stored to provide the Service and related analytics.
- Staff clock-in/clock-out records are stored to provide the attendance feature to store owners.
- We use third-party services including Google Gemini (AI invoice processing), Firebase (push notifications and sign-in), Google and Apple (sign-in), and our backend infrastructure and analytics providers. See our Privacy Policy for details.
14. Intellectual Property
The Service Provider reserves the right to modify the Application or change subscription terms at any time. Any changes to subscription costs will be communicated before they take effect.
15. Limitation of Liability
The Service Provider is not responsible for any indirect, incidental, or consequential damages, including losses arising from inaccurate AI-extracted invoice data, incorrect barcode or universal product data, or the performance of connected Bluetooth hardware. The Application requires an internet connection, and the Service Provider is not liable for any charges incurred from your mobile network provider.
16. App Updates
The Service Provider may update the Application periodically. You agree to accept updates when offered. The Service Provider may terminate the Application at any time without notice.
17. Changes to These Terms
The Service Provider may update these Terms and Conditions periodically. You are advised to review this page regularly for any changes.
